Newswise Best Practices Con't.
This month we are discussing how embargoed news is best managed on Newswise. We realize that embargoes are a sensitive issue and can stimulate anxiety. We have had very few embargoes broken in our 11 years and those were accidents that were handled with little or no damage.

With our new site, we have enhanced protection of your embargoed material. Our new full-text and "printer-friendly" versions of each news release carry the embargo date, so that any news releases printed from Newswise will automatically have the embargo date printed at the top. In our browse menus, the embargo is bright red to ensure that it is seen. And, as has always been the case, only logged-in journalists with passwords and verified credentials are allowed to view embargoed material.

We have recently begun receiving embargoed stories weekly from British Medical Journal and Lancet. We have been approved to receive embargoed material by hundreds of academic journals, including Science magazine.

Balancing the potential anxiety with embargoed stories, however, is their positive impact with reporters. Embargoed stories tend to give the most effective results. The embargo is perceived as a flag for a hard news release.

In a study we did in January, we found that 97% of embargoed stories in a one-month period generated news clips by Newswise-subscribing journalists. You may review the full report here.

Twenty-six percent (935 of 3563) of stories contributed to Newswise during the past year were embargoed. We encourage participating institutions to submit embargoed news 7 to 10 days prior to the embargo. This will give the journalists enough time to contact you, research and prepare their story prior to the lifting of the embargo.

However, the embargo strategy should be used only for research results published in an academic, peer-reviewed journal or presented at a national meeting. Feature stories and announcements for which you desire no press coverage prior to a specific date may be posted without an embargo, but with a note at the top stating that journalists hold it for publication until after a specific date. Only research stories may be put behind password protection. Alternatively, you may post the story after the date.

Two institutions that we feel best handle embargoed news on Newswise are:

University of Michigan Health System 28 embargoed (30%) 4.4 days


Of all institutions that submitted embargoed releases since January 2003, Wake Forest University School of Medicine and University of Michigan Health System had the longest average embargo length. WFU School of Medicine also submitted an impressively high percentage of embargoed stories. We feel that this approach maximizes the effectiveness Newswise can have for its participating institutions.
